Traceability

How QR traceability works at festivals

Attendees returning reusable cups at a festival return station

A festival can distribute tens of thousands of reusable cups over a single weekend. Without operational data, it is difficult to determine how many return, how many are lost, and how many times each cup is reused. QR traceability turns every cup into actionable data.

What is QR traceability?

It involves incorporating a QR code onto the cup or its production batch. This code identifies the cup, links it to an event or client, and tracks its journey across operational stages: distribution, return, washing, and storage.

Tracking can be implemented at batch level—streamlining management at large-scale events—or paired with other tools such as deposit schemes, return tokens, or the festival's cashless system.

From production batch to return station

The workflow typically starts at the factory: each batch is logged during manufacturing and customisation. Once on-site, cups are distributed across bars and quantities are recorded. During the event, dedicated return stations, such as the BackCup system, collect used cups and record recovery rates.

Next, the cups undergo industrial washing, where their condition is assessed and hygiene standards are verified. Finally, they are returned to managed storage between event days or editions, ready for their next deployment.

The data that drives smarter operations

Return rates per day and per collection point, helping identify operational bottlenecks and deploy additional signage or staff where needed.

Number of reuse cycles per batch, allowing you to calculate the actual single-use cups avoided and forecast replenishment needs accurately.

Available stock between editions, preventing unnecessary reorders and streamlining production runs for new designs.

Reporting data: verifiable metrics to substantiate your sustainability narrative to sponsors, regulatory bodies, and attendees.

A complete infrastructure, not just a code

You do not need to deploy everything at once to get started. Many festivals begin by tracking batches to measure overall return rates; in the following edition, they add collection-point metrics, and later integrate returns into cashless systems or deposit schemes. The key is defining early on which metrics to track, who records them, and how they will inform operational decisions. With that baseline, each edition is planned with better data, delivering a reuse system that gains efficiency, credibility, and value for all stakeholders.

A QR code alone will not bring a cup back. It delivers results when embedded in a robust system: durable cups, strategically placed return stations, commercial washing, and secure stock storage. That is Ekomon's approach: connecting product, data control, and logistics to make reuse work at scale.
